AKRON SYMPHONY ORCHESTRA
WORK RULES AND REGULATIONS

It is expected that the musician will attend all rehearsals and concerts. If any conflicts arise during the season, the Symphony requires the musician to notify the Personnel Manager in writing. using an Absence Request Form, as soon as the conflict arises, and in no case later than 28 days in advance of the conflict. The completed Absence Request Form must include the date(s) and specific nature of the conflict. Absence Request Forms are available on the Symphony bulletin board at E.J. Thomas Hall or upon request from the Symphony office. All such requests for an excused absence will be subject to approval by the Symphony. Generally, excused absences will ONLY be granted if the Absence Request Form is submitted on time and if the nature of the conflict is such that the musician’s full time employment dictates such, a major career opportunity is afforded, or if the musician has a major conflict with a required activity at an institution of higher learning at which the musician is enrolled.
Musicians may request absences for no more than two (2) Classic Series concerts.
Musicians may request absences for no more than two (2) from the following:
Individual Family Concerts, Holiday Pops or Gospel Meets Symphony.
An additional absence requests for concerts in this category must be submitted by the Musician and be approved by the Symphony.
Absences from dress rehearsals will generally not be approved.
Failure to give the Personnel Manager proper notification of a conflict (as outlined above) will constitute an unexcused absence and will be recorded in the Musician’s personnel file, and a copy of this record will be sent to the Musician’s Union, Local 24. An unexcused absence will be considered potential cause for dismissal.
All personnel for any given concert will be required to be present at the beginning of the dress rehearsal regardless of the published rehearsal order.
Only one rehearsal in a given series may be missed, provided the Musician has properly notified the Personnel Manager of the conflict (as outlined above) and it has been approved by the Symphony.
The Personnel Manager will signal the orchestra when there are three (3) minutes remaining in the break or intermission period. Musicians are then required to be in their seats no later than one (1) minute before the conclusion of the break, at which time the orchestra will re-tune. Musicians tardy for a scrvice or returning from a break or intermission will be notified in writing by the Personnel Manager with copies sent to the Orchestra Conunittee and the Musician’s Union. Repeated tardiness—three (3) times in any season—may be just cause for dismissal.
Musicians are encouraged
to adequately prepare their music prior to the first rehearsal of a concert set.Principal string players are responsible for establishing the bowings for their sections in coordination with other principal string parts. Distribution of parts and return of bowed parts will be done on a timely and reasonable basis as determined by a schedule constructed by the Librarian.
When leaving music on the stand at the conclusion of a service, it is the musician’s responsibility to place all music in the envelope provided or in the pockets of the music folder.
It is the musician's responsibility to take the folder and music at the conclusion of the service if so requested by the Librarian. This will be asked only when necessary (i.e., a logistics issue).
In the event a personnel substitute or change has been made after the musician has been issued his/her music, the Musician must make the necessary arrangements for the music to be at the service through the Librarian or Personnel Manager.
In the event a seating change occurs after the music has been issued, it is the Musician’s responsibility to make the appropriate music and /or folder changes. Each stand must use the correct set of parts. This may require an exchange of folders. It is the responsibility of the Musicians involved to communicate these changes to the Librarian as they occur.
It is the musician's responsibility to notify the Symphony, in writing. of address and phone number changes, dates music or paychecks should be mailed to another address or held at the ASO office and any other pertinent information. Under no circumstances will music or paychecks be sent in any other fashion except by way of First Class Mail through the U.S. Post Office.
